Eight signs your QuickBooks file needs cleanup

A QuickBooks file rarely breaks all at once. It drifts: a few months of feeds accepted without review, a reconciliation forced to balance, a duplicate here and there. Each shortcut makes the next report a little less reliable. These are the signs that the file needs cleanup before it can support owner statements or a monthly close.

The warning signs

  1. Balances in Uncategorized or Ask My Accountant

Every dollar there is income or spending nobody has explained. Small balances become large ones quickly.

  2. Reconciliations are months behind, or don't match statements

Check the reconciliation history. If the reconciled ending balance differs from the bank statement, or earlier reconciliations were changed, the reconciliation can't be relied on.

  3. Undeposited Funds keeps growing

Payments were recorded but never matched to a deposit, which often means income is counted twice.

  4. Opening Balance Equity isn't zero

Long after setup, a balance here usually signals entries that were forced to make something balance.

  5. Duplicate transactions

The same transaction entered manually and again from the bank feed inflates both income and expenses.

  6. A chart of accounts nobody can navigate

Near-duplicate accounts and one-off categories mean similar spending lands in different places each month.

  7. Impossible balances

A negative bank balance that the bank doesn't show, or a credit card with a debit balance, points to misposted activity.

  8. Reports that don't match the PMS or the bank

If revenue by property or cash on the balance sheet can't be tied to source reports, the file isn't ready to report from.

A 15-minute self-check

  • Open the balance sheet as of last month-end and compare each bank balance with the statement
  • Run the reconciliation report for each account and note the last reconciled month
  • Look at the balances in Undeposited Funds, Uncategorized Income and Expense, and Opening Balance Equity
  • Count the transactions waiting for review in the bank feeds
  • Check whether a closing date is set

If more than one of these needs attention, fix the foundation before building new processes on top of it. A cleanup that reconciles forward month by month is slower than forcing balances, but it is the version your tax preparer and your owners can rely on.
